5 property management workflows you can hand to AI this quarter

The fastest wins from AI in property management are not chatbots on your homepage. They are the repetitive jobs your team does dozens of times a week: answering, sorting, chasing and drafting. Here are five you can hand to AI this quarter, with a person still in charge of anything that goes out.

1. After-hours enquiries

The problem: a rental or appraisal enquiry lands at 9pm and gets a reply the next morning. By then the prospect has called someone else.

What AI does: replies within minutes with the details they asked for and the next available inspection or appraisal times, asks one or two qualifying questions, and books the slot or logs the lead in your CRM.

What a person checks: anything that commits you to a price or a fee.

2. Maintenance requests

The problem: requests arrive by email, text and portal, half of them missing the address, photos or urgency.

What AI does: reads each request, asks the tenant for what's missing, sorts it by urgency, drafts the work order for the right trade and a short update for the landlord.

What a person checks: urgent repairs, anything over the landlord's approval limit, and every work order before it is sent.

3. Rent reconciliation and arrears

The problem: matching bank lines to tenancies by hand, then remembering to chase late payers.

What AI does: matches payments to the right tenancy each morning, flags the odd ones out, and drafts arrears reminders on schedule in your agency's tone.

What a person checks: the flagged exceptions, and every reminder before it goes, so your notices stay within your state's tenancy rules.

4. Routine inspection reports

The problem: an hour of typing after every inspection.

What AI does: turns the property manager's photos and voice notes into a first draft of the report, in your template, with items grouped by room and condition.

What a person checks: the whole draft. AI saves the typing, not the judgement.

5. Lease renewals

The problem: renewals sneak up, and the offer goes out late.

What AI does: lists upcoming expiries weeks ahead, pulls the tenancy history, and prepares the renewal letter and a summary for the landlord.

What a person checks: the proposed terms and rent, and the final letter.
